Administrative Coordinator

Location: Winchester, VA

Pay: $20-$25 per hour (based on experience)

Job Summary:

We are seeking a detail-oriented Administrative Coordinator to provide essential support to our team. This role involves managing records, coordinating schedules, and ensuring smooth day-to-day operations in a fast-paced environment.

Key Responsibilities:

  • Provide administrative and clerical support to team members.
  • Manage calendars, appointments, and scheduling.
  • Organize and maintain project files and documentation.
  • Screen calls and correspondence; respond independently when appropriate.
  • Draft memos and communications outlining policies and procedures.
  • Coordinate programs, meetings, or events, including logistics and budgets.
  • Prepare and maintain records such as agendas, minutes, logs, change orders, and purchase orders.
  • Track subcontractor status, insurance certificates, and licensing documentation.
  • Assist with project closeout, including lien releases and manuals.
  • Create and manage spreadsheets and databases.
  • Handle multiple tasks efficiently and prioritize as needed.
  • Maintain professionalism, integrity, and ethical standards in all interactions.
  • Perform other duties as assigned.

Qualifications:

  • Certificate from college or technical school, or equivalent experience (3-6 months related experience preferred).
  • Strong written and verbal communication skills; ability to prepare reports and respond to inquiries.
  • Basic math skills, including ability to compute percentages and interpret graphs.
  • Problem-solving ability and adaptability to varied instructions and situations.

Physical Requirements:

  • Frequent sitting and manual tasks (typing, handling documents).
  • Occasional walking, bending, and lifting up to 25 lbs.
  • Visual acuity for detailed work.

Work Environment:

  • Quiet office setting with occasional movement and light physical activity.
